Track and manage every job from creation to payment — appointments, crew, photos, and status — on desktop and mobile.

Overview


The Jobs tab is your operational hub — every active and completed job lives here, with full visibility into appointments, crew, payments, and status. Jobs are the bridge between a quote and a paid invoice: once you're ready to schedule work, you create a job.

You can manage jobs fully on desktop or from the Rebolt Mobile App. The mobile experience is built for field use, so you can create jobs, schedule appointments, and update status from anywhere.

On desktop: Go to Jobs in the left nav.

On mobile: Open the app, tap the icon (far right of the bottom bar), then select Jobs.


Jobs List (Desktop & Mobile)


Desktop

At the top of the Jobs page, three summary cards give you an at-a-glance pipeline view:

  • Unscheduled — jobs that haven't had an appointment set yet, with total dollar value and count.

  • Scheduled — jobs actively in progress with appointments on the calendar.

  • Invoiced — completed jobs with an outstanding invoice still pending payment.

Click any card to filter the list to that bucket. Click again to clear the filter.

Below the cards, the full job list shows: Job #, Title, Client, Appointment date, Amount, Created date, Status, and Actions. Use the search bar to find jobs by name or job number, or use Filters to narrow by other criteria.

Mobile App

On mobile, the Jobs list shows each job as a card with the client name, job title, amount, date, job number, and a status dot. Filter chips at the top let you quickly switch between All, Pending appt, In progress, and Unpaid views.


Job Statuses


A job's status reflects what's happening with its appointments first, then payments. Appointment progress always takes priority — if appointments are still scheduled, the job shows as In progress even if all payments are received.

  • Pending appt — job created, no appointment scheduled yet.

  • In progress — at least one appointment is scheduled or underway.

  • Quote sent — a quote has been sent to the client, awaiting approval.

  • Pending deposit — job is waiting on a deposit before work begins.

  • Invoice sent — work is done and an invoice has been sent.

  • Overdue — a payment deadline has passed.

  • Completed — all appointments done and payment received.


Create a Job


You can create a job from anywhere in Rebolt using the Schedule a Job button (desktop, top-right) or the + button (mobile, bottom-right).

Desktop

  1. Click Schedule a Job.

  2. Select a client.

  3. Attach a quote (optional) — link an existing approved quote, or skip this step.

  4. Add appointments — schedule one or more service appointments using the calendar. Each appointment includes a date, duration, appointment type, and crew member assignment.

  5. Confirm to create the job.

Mobile App

The mobile job creation flow is 4 steps:

  1. Client — select the client for this job. Optionally attach an existing quote.

  2. Appointment — choose the appointment type (Estimate or Service call), set a duration, pick a date from the calendar, and assign a crew member. You can skip scheduling an appointment and add it later.

  3. Job Settings — configure any job-level settings (tap Set Up to expand, or skip).

  4. Review & Confirm — review the job details and confirm.

Multiple appointments: You can add as many appointments to a single job as needed — useful for multi-day projects or jobs that require both an estimate visit and a service visit.


Job Detail Page


Clicking any job opens its detail page. The layout is split into two areas:

  • Main panel (left) — job info, internal notes, appointments, and photos.

  • Payment sidebar (right) — quote total, amount paid, remaining balance, and related items (quotes, deposits, invoices).

From the detail page you can:

  • Edit the job title.

  • View and edit client contact info and service address.

  • Add Internal Notes (visible to your team only, not clients).

  • Manage Appointments — add, view status, and see crew assignments.

  • Upload Photos — internal job photos for your records.

  • Create a new quote or invoice via the Create new button.

  • Use the three-dot menu for: adding a new appointment, requesting a review from the client, or canceling the job (which voids all active appointments).


Appointments


Appointments are the individual scheduled visits within a job. A job can have one appointment or many — you're not limited.

Each appointment shows its date/time, status (Scheduled, Completed, etc.), and assigned crew member. You can add additional appointments at any point from the job detail page using Add appointment.

Appointment types:

  • Estimate — an initial site visit to assess the work.

  • Service call — the actual work visit.

Appointments also appear on the Schedule tab, giving you a calendar view across all jobs and crew.

Time Tracking: Rebolt includes built-in time tracking — crew can clock in and out per appointment from the mobile app, and admins can review timesheets on desktop. See the Time Tracking article for full details.


Recurring Jobs


Recurring jobs let you schedule repeat work for the same client automatically — perfect for maintenance contracts, regular service plans, or any job that happens on a predictable cadence.

Setting Up a Recurring Job

  1. Create a job as normal (desktop or mobile).

  2. In the Job Settings step, find the Repeat option and toggle it on.

  3. Choose your frequency: Daily, Weekly, Bi-weekly, Monthly, or Yearly.

  4. Set an end date or number of occurrences (or leave open-ended).

  5. Confirm. Rebolt will automatically create future job instances on the schedule you set.

Editing a Recurring Appointment

When you edit an appointment that belongs to a recurring series, you'll be asked how to apply the change:

  • This appointment — updates only this instance, leaving all other occurrences unchanged.

  • This and all upcoming appointments — applies the change to this appointment and every future occurrence in the series.

Note: There is no "all events" option (past and future). To update every appointment in the series, go to the first appointment in the recurrence, edit it, and select This and all upcoming appointments.

Recurring Jobs & Invoicing

Each recurring job instance is its own job record — you can invoice each one independently. If the client has a card on file, payments can be collected automatically for each occurrence.

Tip: After a large data import (e.g., from Jobber), historical recurring jobs will appear in your Catch Up queue. If this creates an overwhelming backlog, work through the queue in batches or filter by date to focus on recent items first.


Payments & Invoicing


You can create an invoice for a job at any point in its lifecycle — you don't have to wait until all appointments are complete. This lets you collect deposits early, send a partial invoice mid-project, or bill immediately after the final visit.

The Payment sidebar on the job detail page shows:

  • Quote total — the amount on the attached quote.

  • Paid — what's been collected so far.

  • Remaining — what's still outstanding.

  • Related items — links to any deposits, quotes, or invoices attached to the job.

To create an invoice, click Create new on the job detail page and select Invoice. If a quote is attached, the invoice will inherit the line items — you can edit them before sending.

Tracking-only jobs: If you want to mark a job as complete for record-keeping without sending an invoice — for example, after migrating historical data — create the job, then mark any invoices as paid manually using the Mark as paid option in the three-dot menu on the invoice. This keeps your records clean without triggering a client-facing payment request.


Pro Tips


  • Use the mobile app in the field. The Jobs tab on mobile is built for quick access — view job details, update status, and add appointments without going back to your desk.

  • Don't wait to invoice. You can send a deposit request or invoice as soon as the job is created — you don't need to complete all appointments first.

  • Use internal notes to brief your crew. Notes on the job detail page are private — use them for access codes, parking details, or special instructions.

  • Upload job photos as you go. The Photos section keeps a record attached to the job — useful for before/afters and dispute resolution.

  • Request a review right after completion. Use the three-dot menu → Request review to trigger a Google review request while the job is still fresh.

  • Track crew hours per appointment. Crew can clock in and out on mobile; admins can review and export timesheets from the Time Tracking dashboard on desktop.
