Overview
The Quotes tab is where you create and send price proposals to clients. Quotes can be e-signed, converted to invoices, and attached to jobs β keeping your entire sales process inside Rebolt.
You can create and manage quotes on desktop or from the Rebolt Mobile App. The mobile experience is built for quick access in the field β look up a client, attach a quote to a job, and track status from anywhere.
On desktop: Go to Quotes in the left nav.
On mobile: Open the app, tap the β icon (far right of the bottom bar), then select Quotes.
Quotes List
The Quotes list shows all your quotes with: Quote #, Client, Job, Amount, Created date, Status, and Actions. Use the search bar to find by client name or quote number, and use Filters to narrow by status or date.
Quote statuses:
Draft β created but not yet sent.
Sent β delivered to the client, awaiting response.
Viewed β client has opened the quote link.
Approved β client has accepted and signed.
Declined β client has rejected the quote.
Expired β quote link has passed its expiry date.
Create a Quote
Desktop
Click Create quote (top-right). The flow walks through these steps:
Choose a client β search your client list or create a new one inline.
Add line items β add services from your Pricebook or create one-off items. Adjust quantities and pricing per line. Mark any items as Optional to let the client choose whether to include them.
Discounts β apply a line-level discount (% icon on any item) or a global discount at the bottom.
Payment terms β set when payment is due if approved.
Attachments & Notes β add files, a header image, or terms and conditions.
Review β preview how the quote looks to your client before sending.
Send β deliver via Rebolt's email composer or copy the link to send yourself.
Mobile App
Tap + (bottom-right) and select Quote. The mobile quote flow mirrors the job creation experience:
Select a client β search or pick from recent leads.
Add line items β pull from your Pricebook or add one-off items.
Review & send.
Quotes can also be attached to a job during job creation on mobile β when creating a new job, you'll see an Attach Quote option that links an existing approved quote to that job.
Sending & Tracking
Once sent, the quote becomes a live link your client can open on any device. You'll receive a notification the moment they open it, and the status updates from Sent to Viewed automatically.
To preview the client's view before sending, click Preview in the top-right of the quote editor.
The Customer Experience & Signing
Your client receives a link to an interactive quote portal β not a static PDF β where they can:
Review line items, totals, and any optional items.
Select or deselect optional items they want to include.
E-sign by typing or drawing their signature.
Accept or Decline with a single tap.
When a client approves, the quote status updates to Approved and you can convert it to an invoice directly from the quote or from the job detail page.
Editing Sent Quotes & Duplicating
Edit a Sent Quote
You can edit a quote after it's been sent β useful when a client requests a price change or line item adjustment before they approve. The live link updates automatically; no need to resend.
β οΈ Approved quotes cannot be edited. Once a client has signed and accepted a quote, it is locked. To make changes after approval, void the quote and create a new one β or handle any adjustments directly on the invoice line items.
Duplicate a Quote
Both quotes and invoices can be duplicated β handy for repeat work, similar jobs for different clients, or using an existing quote as a starting template.
Open the quote you want to duplicate.
Use the Duplicate action from the three-dot menu.
A new draft is created with the same line items and terms, ready to edit and send.
FAQ
Can I download a quote as a PDF?
Yes β both you and your client can download a PDF from the quote portal at any time.What happens if a quote expires?
Quote links expire after 30 days by default (adjustable in Settings). Expired quotes show a prompt asking the client to contact you for an updated version.Can I convert an approved quote to an invoice?
Yes β from the quote or the linked job, use Create new β Invoice. All line items are inherited automatically.What are optional line items?
Optional items appear on the client's quote but they choose whether to include them. If the quote is approved with optional items unchecked, those items won't carry over to the invoice.Why do optional line items appear pre-checked in the client portal?
Optional items are checked by default so clients can see the full proposed scope upfront. Clients can uncheck any item they don't want before accepting β the total adjusts automatically based on their selections. This is expected behavior.Can I schedule a quote to be sent at a future time?
Not currently. If you're not ready to send, save the quote as a Draft and send it manually when the time is right.Can I delete a quote?
No β quotes cannot be deleted. The closest option is to Void it, which permanently cancels the quote. Voided quotes remain in your list for record-keeping but can no longer be actioned. Use the three-dot menu on the quote row to access Void.Can I send a quote to multiple email addresses?
Not currently β each quote is linked to one client record, which supports one primary email. To share with multiple contacts, copy and send the client portal link directly. You can note secondary emails in the client's Notes field for your own reference.
