Overview


Rebolt's time tracking lets your crew log their workday and the time they spend on each job visit — right from the Rebolt mobile app — and gives admins a web Timesheets dashboard to review hours, fix mistakes, approve corrections, and export payroll CSVs. It works like the shift clock and job tickets you're used to.


Two Timers: Shift Clock vs Job Timer


Rebolt uses two layers of time tracking. They work together, but they measure different things.

Simple way to think about it:

  • Clock in = "I'm on the clock today."

  • Start work on a visit = "This block of time belongs to this customer and job."

Your Today's total is your shift time for payroll and daily hours. Job timers show how long you spent on each visit — useful for job costing and records — but they don't double-add into Today's total.

How the Day Flows (Scenarios)


Scenario 1: Clock in first, then hit the jobs

  1. Tap Clock in on the home screen (or Timesheets).

  2. Open your first appointment and tap Start work.

  3. When you're done at that job, tap Stop work — your shift keeps running.

  4. Move to the next visit and Start work again.

  5. At the end of the day, tap Clock out. That ends your shift and stops any job timer still running.

Scenario 2: Jump straight into a job

You don't have to clock in before your first visit. When you tap Start work on an appointment, the app clocks you in automatically if you aren't already on shift. You can still clock out normally at the end of the day.

Scenario 3: Switch between jobs

Only one job timer can run at a time. If you start work on a second visit while the first timer is still running, you'll see Switch appointment timer? — the first job's timer stops, and the new one starts. Your shift does not stop.

Scenario 4: Forgot to clock out

If you work past midnight without clocking out, the app shows a Rolled over from… message on Today. Clock out from Today — your hours can be split across days automatically.


Clock In and Clock Out


Your shift clock tells the office how long you were on the clock today. Use Clock in when you start your day and Clock out when you're done. This is separate from Start work on individual jobs.

What "Today's total" Means

Today's total is the running count of your shift time for today — not the sum of every job you worked.

  • It includes all time while you're clocked in today.

  • If you clock out and clock in again the same day, the total keeps adding up across those periods.

  • Time you log with Start work on appointments does not increase Today's total (that time shows on each job instead).

While you're clocked in, the home screen may show Clocked in with a live timer instead of "Today's total."

How to Clock In

From the home screen:

  1. Tap the Clock in pill in the header (top-right).

  2. Confirm Clock in?Start tracking your time for today. You can clock out anytime.

  3. Tap Clock in.

After you clock in, the schedule area shows Clocked in with your live timer. You can tap View timesheet to open the Timesheets tab, or Clock out from the same widget when you're ready.

From Timesheets:

  1. Open the Timesheets tab (clock icon) or go to Profile → Timesheets.

  2. On the Today's total card, tap Clock in.

  3. Confirm the same Clock in? sheet and tap Clock in.

While You're Clocked In

  • Your timer runs continuously — there is no pause for the shift clock.

  • Tap the green running pill on the home screen to reopen the time widget.

  • Use View timesheet anytime to see today's appointments and time entries.

  • You can start and stop job timers on visits without affecting your shift — as long as you don't clock out.

Tip: Think of clocked-in time as "I'm available and on the clock." Job timers break out which visits you were actively working.

How to Clock Out

  1. Tap Clock out from the home time widget, the Today's total card on Timesheets, or the running header pill on home.

  2. Read the confirmation: Clock out?End your current shift. Any running appointment timers will also stop.

  3. Tap Clock out.

Important: Clocking out ends your entire shift and stops every running job timer. If you're still on a job site, tap Stop work on that visit first, then clock out — or clock out knowing all job timers will stop.

Forgot to Clock Out / Worked Past Midnight

If you stay clocked in past midnight:

  1. Open Timesheets on Today.

  2. You may see a banner: Rolled over from [date]You didn't clock out yesterday. Clocking out now will split the hours automatically.

  3. Tap Clock out from Today (not from a past day on the calendar).

  4. The app will split your shift across the correct days.

On calendar days between your clock-in and clock-out, Timesheets may show Still on shiftYou haven't clocked out yet. Clock out from Today.

Timesheets: Your Shift at a Glance

Track Time on a Job Visit


Use the job timer on each appointment to record how long you worked at that customer's visit. Job time is tied to the visit (and shows the linked quote or job number) — separate from your daily Clock in / Clock out shift.

When You See "Start work"

The job timer appears at the bottom of the appointment detail screen when:

  • Today is the scheduled day for the visit (using your company's business timezone).

  • The visit is a normal job (not time off).

  • The visit isn't canceled or marked no show.

You won't see Start work for:

  • Visits on future calendar days (come back on the day of the job).

  • Canceled or no-show appointments.

  • Time off blocks.

  • Placeholder appointments with no customer.

If you already have a timer running on this visit, you'll see running instead (mint-colored pill with a live timer).

Start Work (First Time Today)

  1. Open the appointment from Today's schedule, the calendar, or Timesheets → Started appointments.

  2. Tap Start work at the bottom.

  3. Confirm Start this timer?You can stop it any time you're done.

  4. Tap Start work.

The pill turns mint green and shows a live HH:MM:SS timer. You can leave the appointment screen — the timer keeps running.

Stop Work

  1. Tap the running timer pill.

  2. Confirm Stop work?You'll keep the general shift running.

  3. Tap Stop work.

Your time for that visit is saved. Your shift clock keeps running unless you also tap Clock out.

Resume (You Already Logged Time Today)

If you stopped earlier on the same visit today, the button shows Resume · HH:MM:SS (your banked time from earlier).

  1. Tap Resume · …

  2. Confirm Resume this timer?You already logged [time] on this appointment today. Pick up where you left off.

  3. Tap Resume. The timer continues from your total time on that visit today.

Auto Clock-In When You Start a Job

If you tap Start work before you've clocked in for the day, the app clocks you in automatically. You don't need a separate step. The app can also assign you to the appointment if you weren't already on the crew for that visit — so your office sees you're on the job.

Only One Job Timer at a Time

You can only run one appointment timer at a time. If Start work on Visit B while Visit A's timer is still running:

  1. You'll see Switch appointment timer?Your other running appointment timer will stop. The general shift keeps running.

  2. Tap Switch to stop Visit A and start Visit B, or Cancel to stay on Visit A.

Your shift does not stop when you switch jobs.

Past Visits

On a past appointment day (after the visit date in your company's timezone):

  • If you logged time: you'll see Total · HH:MM:SS (gray pill) — read-only summary.

  • If you logged zero time: no timer pill is shown.

You can't start a new timer on a past day from the appointment screen. If you forgot to stop a timer and it's still running, you can stop it even if the calendar day has passed — open the appointment and tap Stop work.


Fix a Time Entry (Crew)


Sometimes clock-out time needs a small correction — left a few minutes late on the timer, forgot to clock out, or stopped a job timer a bit early. Crew can propose changes from the mobile app; office admins approve or reject them from the web Timesheets dashboard.

Important: Until a change is approved, payroll and totals use the original recorded time.

What Crew Can Edit on Mobile

  • Closed entries only — you can't edit a timer that's still running. Stop the timer or clock out first.

  • Clock-out time only — you can move clock-out earlier, not later.

  • Clock-in cannot be edited on mobile. Contact your office if clock-in is wrong.

How to Edit an Entry (Steps)

  1. Open Timesheets and make sure you're on Today (or the day of the entry).

  2. Under Time entries, tap the row you need to fix (shift General or a customer/job row).

  3. Tap to open Edit time entry.

  4. Review the summary card (date and total hours).

  5. Tap Clocked out to open the time picker.

  6. Choose an earlier clock-out time. The picker won't let you extend past the original recorded clock-out.

  7. Optionally add a note explaining the change.

  8. Tap Save entry. You'll see Time entry updated.

If Your Change Needs Approval

  • The list shows Pending review · proposed [time] on that row.

  • Inside the edit screen, a Pending admin review banner explains that the recorded clock-out is still what's used for totals and payroll until approved.

  • Tap Withdraw pending change to cancel your proposal and revert to the recorded time.

If Your Change Was Rejected

  • You'll see Edit rejected by admin with the time you proposed struck through.

  • The recorded time stayed in effect.

  • You can submit a new proposal if needed.

What Crew Cannot Do on Mobile

  • Extend clock-out (work longer on paper than recorded).

  • Change clock-in time.

  • Delete a time entry.

  • Approve or reject anyone else's entries.

For those changes, contact your office admin — they handle them on Timesheets in the web dashboard.

Admin: Timesheets on the Web


Your crew clocks in from the Rebolt mobile app. Timesheets on the web is where you review their hours, fix mistakes, approve their corrections, and Export a CSV for payroll.

Who Can Open Timesheets

  • You need Owner or Admin on the business.

  • You need CRM on your account. Timesheets is under CRM in the left sidebar (clock icon).

  • Crew do not see this page — they use mobile Clock in, Start work, and Timesheets.

If you don't see Timesheets, your account may still be rolling out the feature — contact support.

How to Open Timesheets

  1. Open your business in the Rebolt dashboard.

  2. Under CRM, click Timesheets.

You can also search Timesheets from the command palette (hours, payroll, clock in).

The Weekly Grid

Pick a week: Use the week picker at the top left (for example Apr 6 – Apr 12). The last 10 weeks appear in the list. The current week is labeled on the right. Columns are Monday through Sunday in your business timezone.

Read the table:

Only crew with some hours that week show in the table. Below the table, Employees with no hours this week lists the rest of your roster (they're still included in Export).

Amber cells: A day turns amber when it has more than 12 hours or a crew member has a pending clock-out edit. Click the cell to open day detail.

What the weekly numbers mean (important): Weekly cells show shift clock hours only — the same time as mobile Clock in / Clock out and Today's total. Job timer time appears in day detail for context. It does not add on top of the weekly cell (no double-counting).

Export

  1. Click Export (top right).

  2. You get a CSV: crew name, date, hours (decimal).

  3. Everyone on the roster is included — even zero-hour weeks.

If export fails: Couldn't export the timesheet. Please try again.

Day Detail

Click any hour cell. A side panel opens.

Summary: Date and total for that day (matches the grid cell — shift time only); Clocked in: / Clocked out: for first in and last out.

Timeline:

  • General — shift segments.

  • Appointment — visit blocks with service, client, and links to Job or Quote.

Edit Entry (Admin)

Click a timeline row. Title: Edit time entry. You can change clock-in, clock-out, and notes. Your edits apply immediately. Change history shows Admin vs Crew member and rejected proposals.

Delete Entry (Admin)

DeleteDelete this time entry?Delete entry.

You can't delete while someone is still clocked in — they must Clock out on mobile first.

Approve or Reject Crew Edits

When mobile crew shorten their clock-out, you'll see:

  • Employee has 1 edit awaiting approval

  • Original → proposed clock-out

  • Reject or Approve

Until you approve, weekly totals use the recorded clock-out. Crew see Pending review on mobile.

Pro Tips


  • Take breaks cleanly: The shift clock has no pause. To take a break without counting time, clock out and clock back in when you return (or ask your office how they want breaks handled).

  • Stop the job first: If you're still on a job site at end of day, tap Stop work on that visit before Clock out — otherwise clock-out stops everything at once.

  • Use the auto-clock-in: No need to remember to clock in before your first visit — tapping Start work handles it.

  • Add notes to corrections: When proposing a clock-out edit, a short note helps your admin understand and approve faster.

  • Run payroll from Export: The CSV includes everyone on your roster (even zero-hour weeks) so you can confirm no one was missed.


FAQ


Can I pause my shift?

No. The shift clock is on or off. To take a break without counting time, clock out and clock back in when you return (or ask your office how they want breaks handled).

What happens if I clock out while a job timer is running?

Clock out ends your shift and stops all running job timers. You'll confirm this before clocking out.

Can I track time on canceled or future visits?

Job timers only appear on the visit's scheduled day — not on canceled, no-show, or time-off blocks.

Can I clock in more than once in a day?

Yes. Each clock-in to clock-out period adds to Today's total. There's only one active shift at a time — you can't stack two shift clocks.

Why doesn't my job time show in Today's total?

By design. Today's total is shift time. Job time is listed under each appointment and in Time entries with the customer name and job or quote number — used for job records and costing, not double-added to Today's total.

I got "Could not clock in" or "Could not clock out."

Check your connection and try again. If it keeps failing, contact your office admin.

Do I need to clock in before Start work on a job?

No. Starting a job can clock you in automatically.

I see "Could not start the timer" or "Could not stop the timer."

Try again with a good connection. If the visit status changed (for example, canceled), you may need to refresh or ask your office.

What if I work on a visit from yesterday but forgot to stop?

Stop the timer from the appointment when you can. Long runs may be split at midnight into separate entries. Rolled-over shift issues are handled on the Today screen.

Resume doesn't show — only Start work.

Resume appears when you've already logged time today on that same visit and stopped. If your earlier time was on a different calendar day, you may see Start work again instead.

Why can I only shorten clock-out, not extend it?

This prevents accidental inflation of hours. If you worked longer than recorded, talk to your admin — they can adjust on web.

Does pending time count in Today's total?

No — the recorded time counts until admin approves your proposal.

Can I edit yesterday's entry on my phone?

Editing from mobile is intended for today's entries. Older days may be read-only on the list; ask admin for historical fixes.

Who sees my note?

Your office admin when reviewing the proposal on Timesheets (web).
